Canyon Ranch is the world's most renowned wellness lifestyle company, and we are currently seeking a Reservations Specialist.
As a Reservations Specialist you will be in an hourly, nonexempt, nonsupervisory position primarily responsible for selling the Tucson and Lenox Canyon Ranch property stays to potential guests. Supervised by the Team Supervisor and Reservations Management.
Answers all in-coming calls for Tucson & Lenox properties and promotes Canyon Ranch through pro-active selling. Required to meet call expectations in the areas of rapport building, determining guests goals and descriptive selling based on those goals, customer service and knowledge, and closing a sale. Meets or exceeds the required amount of inbound and outbound calls of 50 per day with a minimum of 25 outbound as set by management for averages and eligibility of sales incentive. Pro-actively sells Special Health Packages, Life Enhancement Program and specialty week stays, special programs and packages. Captures leads by inputting quality brochure requests for the Tucson, Lenox, and Miami properties or getting name and phone numbers of callers that did not make a reservation. Responsible for following up on those leads. Up sells rooms and length of stay when appropriate. Processes deposits on all reservations and updates shift audits.
Makes outbound calls to specific Tucson and Lenox leads to promote Canyon Ranch specials and promotions. Then provides Communications Manager with documentation of those calls to recognize trends in guest calls. A minimal number of outbound calls are required for eligibility of incentive.
Makes accurate reservations for Tucson and Lenox by inputting data for reservation into computer system using correct VIP, guest type, source, package, origin, & room type codes. Quotes, and pro-rates, rates accurately based on any special promotions or discounts, season, room type, number of guests in the accommodation, day of week, property, and any special program fees. Must make elaborate notes of any guest preferences, goals, special needs, or special instructions or room requests.
Must be efficient with the following databases and applications: Gift certificate database to review parameters and validity of Lenox, Tucson, and Miami certificates. Must access the Intranet daily to be knowledgeable of all property specials, discounts or media, web or sales promotions. Membership database to review Lenox contracts and validity of nights. Completes reservations for all Lenox Charter and Centennial members using the this database. Also books all Phase II and III Lifeshare members in Tucson. Tax calculator- Uses tax calculator for determining base rates, service charge, tax, and commission amounts for the Tucson and Lenox properties. Fills out appropriate paperwork using word documents such as third party billing forms, guest and medical alerts, cake requests, rental items, and any other guest related form.
Skills / Requirements
Education: High School Diploma or equivalent.
Experience: Sales experience is preferred but not required
- Must have excellent telephone skills and a confident, positive attitude for making reservation sales for Canyon Ranch.
- Must have good interpersonal skills and be able to cheerfully handle stress in a busy office.
- Must have an aptitude for guest service and sales.
- Must be flexible; able to interact well with a variety of people.
- Must posses basic computer usage skills and be able to type a minimum of 40 w.p.m.
- Sales experience not required, but valuable.
